Rent Invoice: How Landlords Bill Tenants (With Example)
Residential tenants usually pay by standing order without an invoice. Commercial tenants, and anyone who asks for paperwork, need a clear one.

Many residential landlords never send invoices: the lease sets the rent and the tenant pays by standing order. But invoices (and receipts) are useful, and sometimes necessary, when:
- The tenant is a business (commercial property, or a company renting for staff)
- Rent varies month to month (utilities, service charges, shared costs)
- The tenant needs proof of rent paid (for benefits, a visa application, a mortgage or expense claims)
- You're a property manager billing on behalf of owners
What a rent invoice should include
- Landlord or managing agent name and contact details
- Tenant name(s)
- Property address (use the job site / ship-to field in the generator)
- Invoice number and date
- Rent period: e.g. "Rent for 1–31 October 2026"
- Rent amount
- Any other charges, itemized (utilities, parking, service charge)
- Due date (as per the lease, usually the 1st)
- How to pay, and the reference to use
- Late fee terms, only if they're in the lease and allowed locally
Example
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Rent, Flat 2, 18 Carlisle Road: 1–31 October 2026 | 1 | $1,650.00 | $1,650.00 |
| Parking space, October 2026 | 1 | $75.00 | $75.00 |
| Water and sewer, Q3 2026 share (bill attached) | 1 | $96.40 | $96.40 |
| Total due by 1 October 2026 | $1,821.40 |
Rent receipts
If a tenant pays in cash, always give a receipt. Some places require it by law. A receipt should show the date, amount, the period covered, the property and your signature or business name. See the receipt generator.
Late fees
Late rent fees are heavily regulated for residential tenancies. Many US states cap them or set a grace period (often 3–5 days), and in England, the Tenant Fees Act 2019 limits default fees for late rent to interest at no more than 3% above the Bank of England base rate, and only once rent is 14 days late. Only charge what the lease allows and local law permits.
Security deposits
A deposit isn't rent, and shouldn't be invoiced as income. It's held (in many places, in a protected scheme or separate account) and returned at the end of the tenancy, less any lawful deductions. If you invoice it, label it clearly: "Security deposit (refundable, held per lease clause 4)."
Commercial rent and VAT
In the UK, commercial rent is VAT-exempt by default, but landlords can opt to tax a property, after which VAT is charged on the rent. If you've opted to tax, your rent invoices (or rent demands) must meet VAT invoice rules. See UK VAT invoice requirements. In the US, some states and cities tax commercial rent (Florida's state sales tax on commercial rent was repealed from 1 October 2024, as an example of how these rules change).
Make a rent invoice with the property address, rent period and utilities, then reuse it monthly.

Use the same format every month, change only the period and any variable charges, and keep a copy of each. Save a copy of the invoice in the generator and reopen it next month to update the dates. See recurring invoices.
Landlord and tenant law varies a lot by country, state and city. Check local rules on late fees, deposits and receipts before relying on any template.
Renting a room or to a lodger
For a lodger or a room in a shared house, keep it simple: one line for the rent period and one for any agreed share of bills. If bills are included in the rent, say so, which avoids "why did my rent go up?" when energy prices change.
Room rent, 1–30 September 2026 (bills included): £700.00
Proof-of-rent letters
Tenants sometimes need more than a receipt: a letter confirming the tenancy, the rent and the payment history, for a mortgage, benefits or immigration application. A short signed letter on your letterhead, listing the tenancy start date, rent amount and months paid, usually does the job. Your rent invoices and receipts are the evidence behind it, which is another reason to keep them.
Frequently asked
Do I have to give tenants an invoice? Usually not, unless the lease or local law requires it. Receipts for cash payments are required in some places.
Should rent invoices have sequential numbers? Yes, if you're running it as a business, especially for commercial tenants.
Can I add a late fee to the next month's invoice? Only if the lease allows it and it's within local limits; list it as a separate, dated line.
