Tutoring Invoice: How Tutors Bill Parents and Students

Parents want to see which lessons they're paying for. Tutors want to be paid before the next lesson. A simple invoice routine handles both.

Textbooks, notebook and a tutoring invoice listing lesson dates

Private tutors usually bill families, which means your invoice is read by a parent, not an accounts department. Clarity beats formality: which child, which lessons, how much, how to pay.

What to include

  • Your name (or business name), phone and email
  • The parent's name, and the student's name if different
  • Invoice number and date
  • Lesson dates, subject and length
  • Rate and total
  • Cancellation or missed-lesson charges, if any
  • Due date and how to pay

Per-lesson billing

Description Lessons Rate Amount
Maths tutoring for Leo (GCSE), 60 min: 2, 9, 16, 23, 30 Sept 5 £40.00 £200.00
Total £200.00

Set the Qty column to "Sessions" in the generator if you prefer.

Monthly or termly billing in advance

Many tutors bill at the start of each month or school term for the lessons planned. It smooths your income and reduces cancellations.

Chemistry tutoring for Aisha, autumn term 2026: 12 weekly lessons (60 min), 7 Sept – 30 Nov: £540.00 Payment due by 7 September. Lessons missed with less than 24 hours' notice are not refunded.

Packages

Offer a small discount for a block of lessons paid upfront:

10-lesson package, SAT reading and writing prep (90 min lessons): $850.00 (saves $50). Valid for 12 weeks.

Keep a record of lessons used, and share it when the package is nearly finished so the parent can renew.

Cancellations

Put your policy in writing before the first lesson. A common approach: cancellations with at least 24 hours' notice can be rescheduled; later cancellations are charged in full. Show missed lessons on the invoice plainly:

Late cancellation, 16 Sept (cancelled 2 hours before): £40.00

Be consistent, and a little flexible for genuine emergencies; it's a relationship business.

Online tutoring

The invoice is the same. If you also charge for materials, platform subscriptions or marking, list them separately.

Group sessions

For small groups, invoice each family for their child's place, rather than one family for the group.

Make a tutoring invoice with lesson dates and your cancellation policy in a couple of minutes.

Getting paid

  • Bank transfer is standard in the UK; Zelle, Venmo or card links are common in the US.
  • In advance for monthly or termly billing, or within 7 days for lessons already taught.
  • Ask families to use the student's name as the payment reference so you can match it.

Tax notes

Tutoring income is taxable in most countries, and tutors are usually self-employed. Keep copies of every invoice and your payment records. In the UK, private tuition by an individual in a subject ordinarily taught in schools or universities can be VAT-exempt, but that only becomes relevant if your turnover is anywhere near the VAT threshold. In the US, tutoring is generally not subject to sales tax. See how long to keep invoices.

Invoicing an agency, school or company

Some tutors work through agencies or are paid by schools, charities or employers rather than parents. Then:

  • Invoice the organisation, not the family
  • Include the student's name or reference only as far as the organisation asks (some prefer initials or an ID)
  • Add any PO or placement reference they give you
  • Expect Net 30 and monthly invoicing

A sample email to parents

Hi Ms Patel,

Please find attached the invoice for Leo's maths lessons in September (5 lessons, £200). Payment is due by 7 October, by bank transfer to the details on the invoice, with "Leo P" as the reference.

Leo worked really well on simultaneous equations this month. Next up is quadratics.

Thanks, Hannah

The line about progress takes ten seconds and is often the part parents read first.

Frequently asked

Should I invoice before or after the lessons? Either works. Billing in advance for the month or term reduces cancellations and chasing; billing after suits occasional or ad-hoc lessons.

How do I handle siblings? One invoice per family is simplest, with a line per child.

Can I offer a discount for paying a term upfront? Yes. Show the normal price and the discount as separate lines so the saving is clear.
