Receipt generator
Record a payment you've received and hand the customer a proper receipt: itemized, dated and showing how they paid.
Create your receipt
Your work is saved in this browser only.
Pick a document and a template
You can switch templates at any point. Nothing you type is lost.
Add your logo and pick a style
PNG, JPG, SVG or WebP. The logo is resized in your browser and never uploaded to us.
Who is it from, and who is it for?
Only your name and the client's name are really needed. Leave anything else blank and it won't print.
What are you charging for?
Amounts calculate as you type. Use the Qty label to switch to hours for time-based work.
Final touches and download
Add how you want to be paid, then download. The PDF is created on your device.
When to give a receipt instead of an invoice
An invoice asks for money. A receipt confirms you got it. If a customer pays on the spot (a market stall, a repair collected and paid for, a cash lesson fee) there's no invoice stage at all, and a receipt is the only document they get. If you invoiced first, the receipt closes the loop once the payment lands. The full difference is covered in invoice vs receipt.
What a good receipt shows
- A receipt number, in its own sequence (RCT-0001, RCT-0002…) so it never collides with invoice numbers.
- The payment date, which may differ from the date the work was done.
- What was paid for, itemized. “Services” on its own is useless to a customer claiming expenses.
- The amount and the method: card, cash, bank transfer, cheque. The generator has a “Paid by” field for this.
- Tax, if you're registered for it. In the UK, a VAT-registered business can give a simplified VAT receipt for sales up to £250 including VAT; above that the customer can ask for a full VAT invoice.
Receipts for part payments
If a client pays a deposit, give a receipt for the deposit amount and mention what it's for (“50% deposit for kitchen tiling, job ref. 2291”). When you later invoice the balance, show the deposit as already paid. The invoice generator's “Already paid” field does exactly that and prints the remaining balance due. More on this in invoicing for partial payments.
Keep your own copy
Download the PDF and save it with your records before you send it. Tax authorities in most countries expect you to keep sales records for several years (six in the UK for companies, and the IRS generally suggests at least three), and a receipt is part of that trail.
Questions
Can I make a receipt for a cash payment?
Yes. Put “Cash” in the Paid by field. For cash, a receipt is especially important because there's no bank record.
Is a receipt the same as a paid invoice?
They do the same job. Some businesses stamp their original invoice “PAID” and send it back as the receipt; the generator's PAID stamp option does that. A separate receipt with its own number is tidier for your records.
Do receipts need a signature?
Usually not. Add a signature name in the last step if your customer or your industry expects one.
